Critical to the needs of our Project Management Department, the Project Administrator is responsible for management of contractual, financial, and billing documents needed to meet the project deadlines required in the department.

Key Performance Objectives (not an all-inclusive list of duties/expectations)

  • Greet and engage customers, vendors, and other visitors
  • Responsible for opening, date stamping, and sorting all company incoming mail and invoices
  • Handle highly confidential and sensitive materials on a daily basis
  • Perform administrative support tasks as needed
  • Fosters a pleasant and friendly work area
  • 1+ year related experience in the administration of structural steel projects
  • Complete AIA documents for customer billing on a monthly basis according to contract requirements
  • Handle lien releases as required by customer
  • Perform clerical duties as necessary
  • Arrange for travel accommodations / reservations
  • Reconcile billings and invoices
  • Distribute necessary documents to appropriate personnel
  • Send collection notices
  • Distribute preliminary notice information for related projects
  • Maintains documentation and file keeping for management and project records
  • Route contracts and change orders accordingly
  • Assist Risk Management with distribution and handling of necessary bond information and consent of sureties
  • Assist Risk Management to ensure that the company complies with all insurance requirements for each project
